Letters used to notify Candidates/Tenderers at appropriate stages.

Some letters have instructions. All the links below are Word Documents 

R.eu.1 – Letter to a Candidate eliminating them from further participation in the procurement on the basis that they have submitted a non-compliant Suitability Assessment Questionnaire

R.eu.2 – Letter to a Candidate who has been identified for provisional shortlisting requesting them to submit evidence in support of qualification criteria that they have declared to have met in their Expression of Interest submission

Note: This letter shall be sent as soon as the contracting authority has verified any self-declared criteria and has finalised the shortlist.

Letter to Successful Candidate

Note: The relevant Invitation to Tender letter and associated tender documents should be sent to all those shortlisted as soon as the contracting authority reaches its decision

R.eu.4 – Letter to a Tenderer eliminating them from the Tender competition on the basis that they have submitted a non-compliant Tender

Note: This letter must be sent by the Contracting Authority at the same time as the Letter to Unsuccessful Tenderers for the Standstill Period to be valid.

R.eu.9 – Notification of a Revision of Applicable Factor/Adjustment to the tendered Price previously notified

Note: This is an update sent to the successful Tenderer notifying of a revision to the Applicable Factor and the date of the Tender Inflation Indexation Date/adjustment to the tendered Price, after the date of the Letter to Successful Tenderer, and prior to the day which is the day before the date of the Letter of Acceptance.

Frameworks

Letters notifying tenderers that they have been awarded a place on a framework should follow the format of the Letter to Successful Tenderer, however Contracting Authorities must have regard to the call-off rules for the framework in question and additional information may be appropriate in certain cases. For example it may be appropriate to advise tenderers of their scores relative to the first ranked tenderer where the call off rules are based on rankings.
